Community Distributions
The 1994 Deed under which the Eastern Bay Energy Trust was established states that funds may be applied for, or towards, energy related purposes for consumers. The Trust will accept applications from community organisations for energy-related projects that will help build, strengthen or enhance the community.
ENERGY RELATED PURPOSES:
Purposes which relate to some aspect of te beneficial use, application or enjoyment of New Zealand's energy resources in the Eastern Bay of Plenty, including:

Improvements to the safety of the general public by removing road and overhead hazards caused by above ground electricity supply support systems in the Easterm Bay of Plenty; |
| (b) |
Improvements to the supply of electricity to the general public in rural or remote areas in the Eastern Bay of Plenty by replacing inadequate or unreliable supply systems; |
| (c) |
Avoiding, remedying or mitigating any adverse effects of energy related activities on the environment in the Eastern Bay of Plenty; |
| (d) |
Promoting research into more efficient ways of producing and distributing electrical energy for the benefit of the general public of the Eastern Bay of Plenty, including the awarding of research scholarships or prizes and the funding of research and development projects; |
| (e) |
The provision of financial assistance to persons in the Eastern Bay of Plenty to enable them to make better use of energy resources available to them, or to subsidise the cost to such persons of existing supplies of energy. |
Consumers are:
- Any person or organisation in the Eastern Bay of Plenty whose electricity is distributed by Horizon Energy Distribution Limited.

Minimum applications:
- The minimum level of application considered by the Trust is $20,000. Only where there are exceptional circumstances will the Trustees consider applicaitons for less than this amount.

Applications over $100,000:
- The Trust requires six months' notice of applications for funding of over $100.000.

The Trust will not accept:
- Applications for the purchase of electronic equipment such as computers, television, video or audio equipment;
- Incomplete applications;
- Retrospective applications (ie lodged after the event);
- Applications for repayment of debt;
- More than one application from any organisation within a 2 year period.

The application and grant process:
- There are no deadlines - the Trustees meet monthly, the application and grant process is ongoing, and not confined to specific meeting dates.
- Applications will be assessed by the Trust manager, the required administration work carried out to ensure all relevant information is available, and visits completed if required, before the application is presented to the Trustees at the next available grants meeting.
- Applicants will be notified in writing of the outcome of their application, following the decision meeting.
- Part of the Trust's audit process involves regular checks on the use of Trust funds, and visits to monitor progress once the project is underway.
- Every successful applicant is required to sign the Trust's 'Project Completion Audit Form' to verify that the project has been satisfactorily completed.
